Who we are

BFS Associates Ltd (“we”, “us”, “our”) is the data controller for the personal data described in this policy. We are a specialist accounting and business advisory practice based in Newport, South Wales.

What we collect

We only collect personal data you choose to give us. Specifically:

  • Contact form: name, email address, phone number (optional), which service you’re interested in, and your message.
  • Chat assistant: the messages you type into the chat widget on this site.

Analytics: if you accept analytics cookies via the banner shown on your first visit, we use Google Analytics to understand how visitors use this site (pages viewed, approximate location, device type). If you decline, no analytics cookies are set and no analytics data is collected.

Why we use it, and our legal basis

  • Contact form submissions are used to respond to your enquiry and, if you go ahead, to provide our services. Legal basis: legitimate interest (responding to a request you initiated) and, where a service is agreed, performance of a contract.
  • Chat assistant messages are used to generate a helpful reply and, where relevant, to route your enquiry to the team. Legal basis: legitimate interest.

Who we share it with

We use a small number of trusted service providers to run this website and respond to you:

  • Resend — delivers contact form emails to us. Resend processes the message content briefly in order to deliver it.
  • OpenAI — powers the AI chat assistant. Messages you send in chat are processed by OpenAI to generate a response. The assistant is disclosed as AI at the start of every conversation and does not give specific tax, accounting or financial advice.
  • Vercel — hosts this website.
  • Google Analytics — only if you accept analytics cookies, helps us understand site usage. See Google’s own privacy policy for how they handle this data.

We do not sell your data, and we do not share it with anyone else for marketing purposes.

How long we keep it

Contact form enquiries are kept for as long as reasonably needed to respond to you and, if you become a client, for the duration of our engagement and afterwards in line with our professional record keeping obligations. Chat assistant conversations are not stored after your browser session ends.

Your rights

Under UK GDPR, you have the right to:

  • Ask what personal data we hold about you, and get a copy of it
  • Ask us to correct inaccurate data
  • Ask us to delete your data, where we’re not required to keep it
  • Object to how we use your data, or ask us to restrict it
  • Complain to the Information Commissioner’s Office (ICO) if you’re unhappy with how we’ve handled your data

We only set analytics cookies (Google Analytics) if you accept them via the banner shown on your first visit. You can withdraw consent at any time by clearing your browser’s local storage for this site, which will show the banner again. We do not use any marketing or advertising cookies.
